We know very well the enormous benefits our cruises have brought to our passengers in the past. As yet there remains significant uncertainty about how we might operate in 2021. The vast majority of our crews and passengers fall within the groups most at risk from Covid-19. We continue to monitor developments of the Covid-19 and will update you as our situation becomes clearer.

Data Protection and Privacy Policy

This Data Protection and Privacy Policy forms part of the operations of the Waveney Stardust Trust Ltd (WSTL). In the course of our operations we collect, protect and use personal information provided by our customers, Members, volunteers and others who register interest in our operations. This personal information will be held within the WSTL Systems that are the Website, the Booking System, email management service and Volunteer Team Site. We also make use of Facebook that has its own Data Protection and Privacy policies agreed to when you create accounts with them, and this is not dealt within in this Policy.

What Information will we collect, hold and use?

WSTL keep the amount of personal information held to the minimum required to support safe and effective operation of WSTL cruises. The information we hold is detailed below

For our customers, potential customers, members and followers we collect and hold:

  • Contact details including postal town, telephone number and email address (and full address if the customer requests booking confirmation by post)
  • Details of bookings made
  • Stated preference regarding receipt of newsletters, updates and marketing information from Waveney Stardust Ltd
  • Emails sent to any of the Waveney Stardust email addresses

For our volunteers we collect and hold:

  • Contact details and other personal information as provided by you when you register as a volunteer including relevant medical history, skills and emergency contact information
  • Details of attendance at training events
  • Details of relevant certificates held (Helmsman, First Aid etc)
  • Stated preference regarding receipt of newsletters, updates and marketing information
  • Emails sent to any of the Waveney Stardust email addresses

For our Members we collect and hold only information required to support membership:

  • Contact details including address, telephone number and email address
  • Stated preference regarding receipt of newsletters, updates and marketing information
  • Emails sent to any of the Waveney Stardust email addresses

For all visitors to the WSTL website we also collect non-personal information to produce anonymous website statistics to help us improve the website services. This information is:

  • ip address
  • Browser details – name, version, operating system
  • Referring web pages, if you clicked through to our site from another site
  • If the visitor uses the website ‘contact us’ form we hold the information you provide in that form only as long as it takes to deal with your enquiry.
What is the basis on which we hold your data

The basis for Waveney Stardust to retain the information in section 1 is your consent when transacting with the Charity. We hold information only to support providing cruise and membership services plus contact details to allow us to keep supporters up to date with activity in the charity. At the time the information is collected you are given the option to review this policy and decide whether to proceed. Choosing to do so represents acceptance of the information we hold and this policy. From time to time the policy may change (e.g. for changes in regulation such as GDPR in 2018) and you will be notified and provided with the opportunity to change your mind. In some cases deciding to opt out of Waveney Stardust holding your data will mean that you cannot use that service. For example we have to hold Customer information for Bookings and Volunteer details for all volunteers.

How long will we retain your information

Customer information and marketing preferences will be retained indefinitely to support future bookings and marketing activity until you request otherwise in writing. Member and Volunteer information is retained for one year after people cease to act in those roles and is then removed. You may contact us as in the first paragraph of this document to request that we remove all of your data from our systems. Please note that if you wish to continue to receive WSTL services (bookings / cruises, membership and/or volunteering) we must hold the information stated in Section 1.

What we will do with your information

The Systems will record personal information if you make a booking, use the enquiry form or register as a volunteer. We will also use The Systems to record your details if you write to, email or telephone us in connection WSTL cruises and operations. Any information that is collected by WSTL about you will be used only to deal with your booking, enquiry, Membership, work as a volunteer, for monitoring purposes and to provide you with Newsletters and details of our cruises. Every time you make a booking through our Website or receive a Newsletter / marketing email you will be given the opportunity to indicate your preference regarding receipt of marketing information and you may write to at any time to opt in or out of these communications. Similarly Members and Volunteers will be asked to confirm continue holding of their data as part of a ‘renewal’ process each year.

WSTL will ensure that all personal information supplied to systems under our control is held securely, in accordance with the Data Protection Act 1998 and GDPR regulations of 2018.
As stated in the introduction to this document some of your information is held on third party systems with their own Privacy Policies to which you will have agreed when creating an account (e.g. Groupspaces for Volunteer information and ‘Bookeo’ for customer accounts). These service providers operate globally and this necessarily involves the transmission of some data on an international basis. All providers are party to the 2018 GDPR regulations and are selected partly on their commitment to data protection. By visiting the Website and communicating electronically with us, you acknowledge our processing of personal information in this way.

Use of Social Media

Our Websites may offer you the opportunity to share or follow information about the Website (or the products and/or services available through it) using third party social networking functionality (such as through “share this”, “like” or “follow” buttons). We offer this functionality in order to generate interest in the Website and WSTL among the members of your social networks, and to permit you to share and follow opinions, news and recommendations about the Website and WSTL with your friends. However, you should be aware that sharing personal or non-personal information with a social network may result in that information being collected by the social network provider or result in that information being made publicly-available, including through Internet search engines.
We do not endorse or control the policies or practices of any such third party social network. You should always read the privacy policy of any social network through which you share information carefully in order to understand their specific privacy.
WSTL will protect your privacy by posting comments or photographs on Social Media which may identify you only with your explicit permission.

This document is version controlled using a version number and published date in the page footer. If this Data Protection Privacy Policy changes in any way these will be updated and we will place an updated version on the website and contact Members and Volunteers.
